Generate PDF reports

Who can do this: Superuser Admin  ·  Where: the Create Report / Print Report buttons on client, site, and equipment pages

NorthGrid produces polished, tenant-branded PDF reports at three levels. There's no report builder to configure — select the button, and the PDF opens in a new tab ready to print, save, or send.

The three report levels

Equipment report — from an equipment record's Print Report button. A complete sheet for one unit: its attributes, photos, deficiency status, and inspection history.

Site report — from a site's Create Report action. The full package for a site visit: site details, the equipment list, and one page per piece of equipment — plus an optional intro page (see Branding below).

Client report — from a client's Create Report action. The same treatment across every site the client has.

Reports embed the record's photos (automatically resized for print) — and where a unit has an IR Report PDF attached, its pages are imported natively into the output, so the thermal report rides along at full quality instead of as a shrunken image.

Branding is automatic

Every report picks up your tenant's Branding Settings without any per-report setup:

  • Your logo on the cover and headers
  • Report Title Color and Report Accent Color (or your Primary/Secondary colors where no override is set)
  • Your PDF Footer Text on every page
  • The Site Report Intro Page — a title and body you write once, rendered as the report's opening page when enabled

This is also what makes client-facing deliverables look like your company's work product — worth a five-minute pass through Branding Settings before sending the first report to a customer.

What Viewers see

Report content follows the same rule as the equipment pages: internal and draft deficiency notes never appear in client-facing output — only final report notes do. Write customer-appropriate findings into the final notes field before generating.

Troubleshooting

The report is missing a unit's thermal data. : IR pages embed from the unit's attached IR Report PDF. If none is attached, there's nothing to import — upload the PDF to the equipment record first.

The report shows default colors / no logo. : Your tenant's branding hasn't been set yet. Configure it once in Branding Settings; every report from then on inherits it.

A deficiency I logged isn't in the report. : Check which notes field it's in — internal and draft notes are excluded by design. Move the customer-facing wording to the final report notes.

Generation is slow for a big site. : A site report renders a page per unit plus every photo and embedded IR PDF — large sites take longer. Give it a moment; the tab will populate when the PDF is built.
